Leads and lists¶
A lead is one prospect: a person with an email address, plus whatever you know about them (name, company, job title, website, city and your own custom columns). The Leads Sheet is your shared view of every lead and where they are in your outreach. Lead Lists group leads into reusable audiences that a campaign can select as one group.
Who can use this¶
- Everyone in the workspace can search and filter leads and update lead statuses.
- Owners and managers also add and edit leads, run imports and manage lists.
Before you start¶
Leads come into Cadensiq by importing a CSV file into a lead list. See Imports.
Key concepts¶
Lead statuses¶
| Status | Meaning |
|---|---|
| New | Imported and ready for upcoming campaigns. |
| Queued | Included in a campaign that is waiting to send. |
| Email sent | A campaign email was accepted by your mailbox's email host. |
| Opened | The lead appears to have opened an email (approximate; see Analysis). |
| Replied | The lead replied. Cadensiq sets this automatically when it finds the reply. |
| Interested | A positive response. Set this yourself to flag a lead for follow-up. |
| Not interested | The lead declined. |
| Bounced | The email could not be delivered to this address. |
| Unsubscribed | The lead opted out of future campaign emails. |
Safety¶
The Safety column shows Safe to send, or why a lead won't be contacted. Unsubscribed and hard-bounced leads are suppressed: no campaign will email them again.
Lists are audiences¶
A list is a reusable group. When you choose a list for a campaign, Cadensiq copies its current members into that campaign. Adding people to the list later does not change a campaign that is already prepared.
List Availability shows Importing while an import is still saving into it, Partial if an import finished with issues, and Ready when it can be used in a campaign.
How to find leads¶
- Open Leads Sheet.
- Use Search leads (searches email, name or company).
- Use the status filters (New, Email sent, Replied, Interested, Bounced) to narrow the view.
The table shows Contact, Company & website, Title & location, Outreach status, Safety and Last activity.
How to change a lead's status¶
- In the Outreach status column, open the status and choose the new one, or open the lead and select Update Lead Stage.
- The change is saved immediately.
Typical use: after a positive reply, change Replied to Interested so the team knows to follow up.
How to edit a lead or add notes¶
- Open the row menu and choose Edit lead (or open the lead and select Edit Prospect).
- Update Contact Profile, Organization & Role, Tags (Comma-separated), the Lead Stage Status and Internal Notes & Context.
- Save.
The lead's page (View details) shows Contact Information, Tags & Segmentation, Prospect Notes, Custom Personalization Variables (extra columns from your CSV), the Interaction Timeline and the Prospect Funnel Progression.
Internal notes stay internal
Notes are for your team. They are never sent to the writing assistant and never appear in an email.
How to create a lead list¶
- Open Lead Lists and select New list.
- Enter a name you will recognize when choosing an audience, for example Sample company decision makers, and optional Notes.
- Select Create list, then fill the list with Import CSV.
How to add leads to a list¶
- In Leads Sheet, tick the leads you want.
- In the selection bar, select Add to list and choose a list.
How to delete a lead or a list¶
- Lead: row menu → Delete lead, then confirm.
- List: Lead Lists → Delete list, then Delete List.
Warning
Deleting cannot be undone. Deleting a list does not remove its leads from the Leads Sheet.
Rules to know¶
- A lead needs a valid email address. Other fields are optional.
- Missing optional details (such as city or country) never make a lead ineligible; you decide in the campaign how to handle them. See Audience.
- Lists that are still importing can't be chosen as a campaign audience until they are ready.
What happens next¶
- Campaign sends move leads to Email sent; replies, bounces and unsubscribes update their status automatically.
- A reply, bounce or unsubscribe also stops that lead's remaining follow-ups.
Common questions¶
| Symptom | Cause | What to do |
|---|---|---|
| I can't add a single lead by hand | Leads are added through CSV import into a list | Use Import CSV. A file with one row works too. |
| "No leads match these filters." | A filter or search is active | Clear the search and status filter. |
| A list can't be selected in a campaign | Its import is still saving, or it has no eligible leads | Wait for Ready, or check the leads' Safety. |
