SDR daily routine

A simple daily rhythm for outreach specialists (SDRs). It keeps replies answered quickly, lead statuses accurate, and nothing slipping through the cracks.

Your role decides your screens

Members work mainly in the Leads Sheet, Lead Lists, Campaigns and Analysis. The Inbox is available to managers and owners; if you answer replies, ask the owner whether you need a manager role. See Roles and permissions.

Start of day

  1. Notifications (bell): read new campaign updates and any reminders assigned to you.
  2. Inbox (if you have it): turn on Needs response and filter Assigned to yourself.
  3. Answer the oldest replies first. For each one:
    • Check or correct the Reply outcome (for example change Needs review to Interested or Question).
    • Reply from the conversation, or add a Private note if a colleague should take it.
    • If they asked you to come back later, add a Follow-up reminder. Use Suggested from the reply when it appears.
    • Archive the conversation when there's nothing left to do.

Through the day

  1. Leads Sheet: filter Replied and make sure each lead's status reflects the conversation. Move positive leads to Interested, and declined ones to Not interested.
  2. Add context to leads with Edit lead → Internal Notes & Context (call notes, meeting outcomes). Notes stay internal.
  3. Open campaigns you're working on and check the Replies tab. Record business results (Meeting booked, Qualified, Converted, Lost, Not a fit) as they happen.

End of day

  1. Clear Needs response as far as you can, or add reminders for tomorrow.
  2. Check reminders due tomorrow so nothing surprises you.
  3. Note anything unusual (many bounces, a mailbox warning) for your manager or the owner.

Good habits

  • Reply within one working day; quick replies win meetings.
  • Never re-add someone who unsubscribed. Cadensiq keeps them suppressed, and that protects everyone.
  • Keep statuses honest. Analysis and your team's reporting rely on them.
  • Read every AI draft as the recipient would before it goes into a campaign.
