Analysis

Analysis gives you a workspace-wide view of your outreach: how many people you contacted, how many replied and how positively, how your mailboxes are doing, and how much reply work is waiting for each teammate. It uses the same data as your campaigns and Inbox, so the numbers match what you see elsewhere.

Who can use this

Owners, managers and members.

Before you start

You need at least one launched campaign for most figures to appear.

Key concepts

The headline figures

Figure What it counts
Contacted Distinct people contacted by a campaign in the selected period.
Accepted Messages your email host accepted. Not proof that they reached the inbox.
Reply rate Share of contacted people who replied.
Positive rate Share of contacted people who replied positively.
Needs response Conversations currently waiting for your team. This is a snapshot of right now.
Failed Messages that could not be sent.
Uncertain Messages whose outcome needs a deliberate check. See Campaign monitoring.
Cancelled Messages stopped by safety or workflow rules, such as a reply or unsubscribe.
Scheduled Queued messages not yet sent.
Observed open Opens recorded. Approximate, because of image blocking and privacy features in email apps.
Hard bounce rate, Unsubscribe rate Share of contacted people who hard-bounced or unsubscribed.
Response time How quickly your team answers replies.

Next to many figures you'll see a change Compared with the previous window (the same length of time just before your selected period).

Sections

Overview, Campaign performance, Mailbox health, Team workload, Activity over time and Reply outcomes. Charts have a data-table alternative (View activity data table, View outcome data table).

Sync freshness

Mailbox sync shows how up to date the inbox data is. If a mailbox hasn't synced recently, reply figures may be incomplete until it catches up.

How to use Analysis

  1. Open Analysis.
  2. Select Filters and set the Reporting period and Reporting timezone. Optionally narrow by Campaign, Mailbox, Assignee, Reply outcome or Lead stage.
  3. Read the headline figures, then scroll through the sections.
  4. Select Refresh analysis to update. Clear filters resets everything.

How to export

Select Export CSV. The file contains the same figures as the screen, for the same filters, and opens safely in spreadsheet programs.

Rules to know

  • People are counted from their first contact in a campaign, so a follow-up doesn't count someone twice.
  • "Accepted" is deliberately not called "delivered": an email host accepting a message doesn't guarantee it reached the inbox.
  • Reply outcome figures include replies from people, not automatic replies or bounce reports.
