Email and personalization

The Email & Personalization step is where you write each email in your campaign, personalize it for every recipient, choose whether it goes out as a rich or a plain-text email, and preview exactly how it will look on desktop and mobile.

Who can use this

Owners and managers create, edit and launch campaigns. Members can open finished and in-progress campaigns to review them, but can't change them.

Before you start

Choose the sender and audience. Your audience decides which personalization fields are available. See Audience.

Key concepts

Steps and timing

For a Personalized sequence, the tabs under Campaign emails show each email: Day 1 for the first, then each follow-up. Each follow-up has a Delay, for example "Sends 3 days after the previous email". Select Add email to add a step. A One-time announcement has exactly one email.

The fields of an email

Field What it is
Subject line The subject. Keep it short and specific.
Preheader (optional) The short preview text shown in the inbox before the email is opened.
Email body Your message.
CTA label The text of the call-to-action button in rich emails, for example Book a 15-minute call.

Rich email or plain text

Under Send format choose:

Format Recipients receive
Rich email Your formatted email inside a clean layout with your organization's logo, name and tagline at the top.
Plain text Text only. Formatting is removed, but your paragraphs and line breaks are kept.

Plain text often reads more like a personal note; rich email suits announcements. The preview always shows the format you chose.

What Cadensiq adds to every email

Every email ends with an unsubscribe link and a short "Sent with Cadensiq" line. You can't remove these. Cadensiq does not add your name, signature or sign-off for you: if you want Best, Alex, write it in the body.

Personalization variables

A variable such as {{firstName}} or {{company}} is replaced with each recipient's own value when messages are prepared. Use Insert variable to pick a field from Contact, Company, Sender or Custom (columns from your CSV). Each field shows how many of your recipients have a value.

If some recipients don't have a value, set a fallback or an exclusion rule. See Audience.

How to write an email

  1. Select the step tab you want to edit.
  2. Type the Subject line and, optionally, the Preheader.
  3. Write the Email body:
    • Enter starts a new paragraph.
    • Shift+Enter adds a single line break (useful for a sign-off or an address).
    • Use the toolbar for Bold, Italic, Bulleted list, Numbered list, Insert link and Insert image.
  4. Place the cursor where a personal detail belongs and choose Insert variable, for example:

    Hi {{firstName}}, I noticed {{company}} is hiring in {{city}}…

  5. Set the CTA label if you use rich email.

  6. For follow-ups, set the Delay in days.
  • Link: select the text, choose Insert link, enter the Link URL (web or mailto: links) and select Add link.
  • Image: choose Insert image, enter a public Image URL starting with https://, add optional Alt text and select Add image. Images load from their web address; they are not uploaded.

How to preview

The Live preview beside the editor shows the email with sample values. Use Preview size to switch between desktop (600px) and mobile (375px). On Review & Launch you can preview the real prepared message for each recipient.

How to save an email shell as a template

Select Save as template at the top of the step, give it a Template Name, Category / Industry and optional notes, then Save Email Shell. This saves the layout and design for reuse; your campaign copy stays in this campaign. See Templates.

Rules to know

  • Only approved personalization fields can be used. Anything that looks like code, scripts or unsafe links is rejected when you save.
  • Links must be web (http/https) or mailto: addresses; images must use https.
  • Changing the content after preparation returns the campaign to Draft; the messages are prepared again before launch.
  • When you've finished, select Schedule to continue.

What happens next

On launch, Cadensiq prepares one message per recipient per step, filling every variable from your audience and rules. Those prepared messages are exactly what is sent.
